Transportation instructions for international consignments
Oy Matkahuolto Ab has specified the following instructions and weight, height and volume
restrictions for consignments in order to ensure smooth and safe processing.
Dimensions and packaging of consignments
The consignment should be packaged properly and
the address information should be clearly marked.
Matkahuolto does not accept unpackaged consignments for transport. The Customer’s VAT
number is mandatory when shipping consignments to non-EU countries.

- calculation 250 kg/m³ and volume 3.0 m³
- the maximum length of long items within the EU is 240 cm, in the rest of the world, 180 cm
Other shipping restrictions
Matkahuolto reserves the right to charge an additional fee or
to refuse to transport consignments that fall into the following restricted categories:
- dangerous substances will not be transported
- products requiring temperature-controlled transportation
- dry-ice consignments will not be transported
- ATA Carnet shipments (fair exhibitor shipments)
- consignments delivered against payment (CAD = collect Cash Against Document), (FCR =
Forwarder’s Certificate of Receipt) or transferable documents (FCT = Forwarder’s
Certificate of Transit) will not be transported
Prohibited products that will not be accepted for transport:
- goods or materials whose transport is prohibited by law or regulations.
- hazardous, flammable or exploding products, fireworks, guns and/or ammunition
- drugs, living plants, dead animals, pornographic or otherwise indecent material, politically
sensitive material
- foodstuffs, certain cosmetic substances, alcoholic drinks, art/antiques, precious metals, gems,
gold and silver in any form, money (bills and coins), credit cards, traveller’s cheques,
transferable securities
Charging criteria
The freight charged will be based on the waybill data.
The consignor pays all of the shipping-related fees, supplementary coverage fees and other
expenses stemming from shipping, except taxes and customs duties.
Matkahuolto reserves the right to weigh and/or measure the consignment in part or in full
for inspection purposes. The freight rate is based on either the waybill data or the result of the
inspection, whichever is higher.
The currently valid fuel surcharge will be added to all prices.
Matkahuolto reserves the right to adjust prices.
Calculating shipping fees based on volume
If the volume weight of the consignment exceeds
the gross weight, the volume weight will be used to calculate the shipping fee according to the
table below:
International air parcels
- Consignments of goods 1 m 3 = 200 kg
International parcels
- Consignments of goods 1 m 3 = 250 kg
Other Fees
A separate fee will be charged to cover the costs stemming from Matkahuolto
having to adjust taxes or acquire certificates or permits when requested to do so by the customer.
1–3 extra days may be added to shipments to certain areas; an additional fee will be charged
for consignments to these areas. Ring Customer Service at 0800132,582 to obtain more information on
which areas are subject to an additional fee based on their postal code.
Increase to Limits of Liability (ITLL)
Matkahuolto’s liability is limited by
international conventions. The consignor can select ITLL (Increase to Limits of Liability), a
supplementary service, for the consignment to increase the compensation paid in case of loss or
damage to a maximum of € 45/kg (max. € 25,000/consignment). The maximum compensation
for any damage may, however, not exceed the aforementioned restrictions, taking into consideration
the value of the damaged or lost product. You can select ITLL by ticking the appropriate box on the
WEB Customer Interface.
Liabilities and claims
The responsibilities and liabilities of the consignor, the consignee
and Matkahuolto as well as the claims and liability for compensation are set forth in the
contractual terms and conditions based on international conventions.
If an external visual inspection shows that the goods have been reduced or damaged, the
consignee must lodge an initial complaint of this in writing with the carrier when the goods are
released, otherwise the written claim must be lodged with Matkahuolto as follows:
- international parcels, within 7 days of the acceptance of the goods
- by air, within 14 days of the acceptance of the goods
A detailed claim for the damage must be submitted to Matkahuolto within 21 days of filing the
initial complaint.
Entries such as ”uninspected” or ”not counted” made when picking up
the consignment are not accepted as proof of loss or damage.
What papers need to be filled out?
The document required for shipping the consignment is
created using Matkahuolto’s WEB Customer Interface.
A waybill in English is available for international consignments and is created using the
information you have entered into Matkahuolto’s Web Customer Interface. Make sure that the
consignee’s information is correct.
When sending a consignment outside of the EU, it should have either a pro forma invoice or a
commercial invoice attached to it. Other documents that need to be used include documentary
evidence of origin such as the EUR.1 movement certificate and the exporter’s notification
with a commercial invoice. There are some exceptions when sending consignments within the EU, e.g.,
when sending items to areas that are not part of the customs territory of the EU. When sending
consignments to these areas, you will need the proper documents for customs clearance. These areas
include the Canary Islands, Ceuta and Melilla in Spain, the Channel Islands and Gibraltar in the
UK, San Marino and the Vatican in Italy, and the Faroe Islands and Greenland in Denmark.
The required documents depend on the country the consignment is being sent to.
